Fund Raiser:
we have only sold 22 tickets, which sounds like a lot but holy cow we need to sell A LOT LOT LOT more tickets we need to give final payment and count this monday the 10th. so we need to really rally and sell these tickets ASAP! we need cash pronto we need to sell minimum 100 more tickets.

Raffle Items:
we’ve got a bunch of raffle items, but less silent/live auction items. need to get things gathered by monday. not sure who’s going to be the auctioneer.

Food/wine:
finalize menu, keri needs to make a decision about wine/beer service. if we want to go with them, keri has a customer who owns a vineyard and is a distributor. the corking fee is $7. if the fee ends up being reasonable, then we may go with keri’s customer, or fab can place an order for us! yay! Food: there will be 3 or 4 stations, carving station with some sort of meat, fruit and cheese, one will be veggies, then selection of passed hot hors d’oeuvres. and maybe some desserts from pastiche. fab can also get us desserts if we get stuck.

Walkabout:
LeeAnn gave out a really awesome letter to the artists on the list with a great map to make sure everyone who wanted to be on it is on it.

Volunteers:
music at the wharf is starting to come together from 1 - 6pm.
we’re looking for vendors to have food/beverages down there.
we always need more volunteers!

artist’s studios open 11-5? that’s an awful long time. no, here’s the latest breakdown in times:

posters will be with the footprints and the seussian poem with the above info
postcard will be same as poster except without the poem. info on the back as well.

it would be cool if we could have footprints on the sidewalk. put them in front of your own business/studio to show participation instead of balloons. Marilyn is looking into spray chalk and footprint outlines. much better than balloons!

newspapers that we at least have press releases in? Elizabeth has a pretty comprehensive list. we should send to fall river herald as well. pat will send posters to libraries. we will discuss advertising opportunities at the october meeting. maybe that is a bit late.

perhaps we should have another meeting after the fundraiser to discuss finances and advertising opportunities.

holiday festival: if anyone has any ideas for holiday festival contact marilyn. fireworks after at the town hall.

we can’t stress enough how much we need to sell tickets to the fundraiser!

our president Jen Vincent has had a career change and her schedule does not work out for meetings anymore

Keri will act as a meeting runner and liason for the organization until the walkabout happens and then in the meantime
in september we can come up with nominations and an election after the walkabout.

Walkabout sun oct 21st
we’re doing artist open studios, we’ve already had a lot more communication with the artist community
leeann has been acting as our liason with the artist community and is working on a beautiful map
hopefully we’ll have a lot more artist participation
if you hear of any new artists please let Keri/Paula/Kim know so we can get them involved
taste of warren will happen as usual
it’s getting bigger and bigger and we want to make sure that we get folks down to water street as well.
trolley will happen as usual
we’d like to have a music event as well, so we’re looking for volunteers to get that rolling
where to have it? town dock? india’s patio?
we should go before the town council and ask for permission to use the facilities so the insurance covers everything
paula will call and get us on the agenda for the town council
parking - can we get free parking down at monarch? get some signs around for parking. maybe have people park at burr’s hill park
and have the trolley go all the way there.
t-shirts? are we going to try to do that again? no- we still have a lot of discover warren t-shirts we should talk to Karen about using the
image from the 04 walkabout for posters and t-shirts.
postcards to distribute at other artists walks perhaps we can also distribute In Warren
it would be great if 2nd story would lend us their mailing list and we could we can use the bella yarns mailing list as well.
last year we had bristol/warren highschool artists display at the mill, this time we’d like to try to get barrington high involved as well

Keri had hoped to put together a place where all the discover warren SWAG will live so it’s not scattered all over town. the t-shirts have been sold
at the farmers market, jen has them, so we should try to get hold of where they are living. There is room down in the DISH basement, we can store
the discover warren stuff there.

paula brought up should we have a tax id number? for purchasing. we’re thinking we need to wait until we get a bit bigger.

Betty - rhode island monthly has a holiday book that comes out if people are interested in putting in an ad she has the information.

discover warren 7/12/07

waiting to talk about the bay queen cruise fundraiser possibly next week.

20th or 27th of september are the possible dates.

~$50-$55 per person, cash bar.

perhaps we could get entertainment to come with the cruise.
the chamber is having the ocean state follies.

there have been vast improvements in the quality of food and beverage on the bay queen
so we may have less organization to do as far as food.

the question is whether or not we want the full boat or half the boat. chamber gave
discount for buying a whole table. which might be a good idea for us as well.

walkabout:
choose a series of meetings (dates) so we can send out a letter to the public about when
we’re meeting and what we’ll be talking about.

also to let them know what the fundraiser is and when it is.

discover warren may want to consider to getting a merchant services account so
we can accept credit cards for the fundraiser/t-shirts/etc.

in warren update:
jen is hitting the pavement getting people to sign up to advertise in the guide.
lots of new people and a lot of focus on the arts in town and the hidden gems.
getting some health and wellness folks as well. we’ll have an index in the back
broken down by category for folks who can’t afford/don’t want a full ad.

General Meeting : Thurs, Feb 1 at Nat Porter at 8:45 AM

At this month’s meeting we will be discussing the web site and what it needs to do for the organization.

We will also begin discussions about the timelines for this year’s events & projects:

- Farmers Market
- 2007 Fall/Winter and 2008 Spring/Summer Magazines
- Walkabout

The election will take place at the General Meeting of Discover Warren on January 4th 2007 at the Coffee Depot at 8:00 AM. In the By-Laws it mentions a fee to be able to vote, but that membership fee is waived for this first election. We have put together a suggeted slate, but anyone can write-in whomever they feel is best suited for the job. The slate is following:

President: Jennifer Vincent
Vice President: Patricia Mues
Secretary: Kim Conterio
Chairmen of Marketing: Elizabeth Kiepert
Chairmen of Events: Kerri Cronin
Charimen of Fundraising: Paula Silva

We are also going to need committee members, so if anyone would like to donate some time to being on a committee it would be great to start now as things are forming. Members of committees do not have to attend the general meeting and the committees do not necessarily meet every month, so the time commitment would vary.

The meeting minutes will be updated by the new secretary after the election.

Statement of Purpose:

Discover Warren celebrates Historic Downtown Warren through community events and works in conjunction with individuals and groups to bring people to Warren. Discover Warren is open to all members of the community.

The following positions constitute the Executive Board of Discover Warren.

President: create meeting agenda, guide discussion of meetings. Attends monthly Town meetings.

Vice President: introduce members of the community to Discover Warren & act as stand in for President if unable to fulfill his/her duties

Secretary: take minutes at each meeting and post minutes on Discover Warren website. Post meeting schedule in the East Bay Newspapers & on the Discover Warren website. Maintains member list. Also acts as liaison to website designer.

Treasurer: responsible for deposits, payment of bills and creation of budget.

Chairmen of Marketing: research marketing and public relations opportunities & coordinate the marketing committee to work with the events committee to promote Discover Warren.

Chairmen of Events: develop and coordinate events hosted by Discover Warren.

Chairmen of Fundraising: coordinate when, where and how to raise money for Discover Warren.

Nominations & Election of Officers

Nominations for officers will begin at the December general meeting. The deadline for nominations will be December 31st. Notification for the election of officers to the executive board of Discover Warren will be posted on the Discover Warren website, listed in the East Bay Newspapers, and posted wherever the existing executive board determines.

Elections will take place at the January general meeting. Votes will be cast on paper ballots and tallied at the end of the meeting.

Terms

Members elected to the executive board will be elected to such post for one year beginning immediately following the January meeting.

Any officer or director may be removed for just cause at any time by a majority vote of the members of the executive board.

Vacancies

A vacancy in any office by reason of death, disqualification, resignation, removal or otherwise may be filled by the members of the executive board by a majority vote for the unexpired portion of the term.

Quorums & Proxies

A simple majority of the executive board would constitute a quorum.

A member of the executive board who cannot personally attend a meeting of the executive board may vote on a specific issue at a regular or special meeting by written means of communication addressed to the president.

Annual & Additional Meetings

General meetings will occur a minimum of 6 times per year.

The executive board will meet several days before each general meeting.

The executive board may call or cancel an executive board or general meeting at any time.

The annual meeting for Discover Warren will occur in January and will coincide with the election of officers and the beginning of the financial year.

Membership

The general meetings of Discover Warren are open to all interested persons.

To be a voting member at a general meeting of Discover Warren a $10 membership fee must be paid. Membership to Discover Warren must be renewed every 12 months. The membership fee will be waived for the first election, occurring January 4th 2007.
